SUMMARY

The Director of Finance and Administration works closely with the Executive Director and other senior staff to provide strategic financial leadership and oversight to advance the mission of Reconciling Ministries Network. They will not only possess the essential technical skills required for the financial management of a medium-size non-profit but will also possess a high capacity for predictive financial visioning and precise communication of the overall health of the organization. In addition, they will oversee the general administrative functioning of the organization utilizing an emerging volunteer corps where necessary. Finally, this director-level position occupies a space within a staff team—offering unique and stabilizing contributions for the well-being and overall health of the RMN staff. The position is full-time, located in Chicago, and requires limited travel.

JOB FUNCTIONS

Financial

Creates, uses, and regularly shares dashboards, metrics, and reports to resource the Executive Director and Senior Leadership team as well as relevant board members and committees for the accurate evaluation of the agency’s fiscal health
Works closely with the Executive Director and Senior Leadership team to ensure that grant and other restricted monies are expended properly
Coordinates and leads the annual audit process in collaboration with relevant board members, board committees, and staff
Plans for and leads the effort to create the annual budget
Manages organizational cash flow and forecasting
Provides critical financial analysis and interpretation to Executive Director and Senior Leadership team
Records receipts, donations, and deposits in QuickBooks; manages accounts payable, and payroll; receives, creates, and pays invoices and transfers funds between accounts as necessary
Records and updates donor gift and payment information on a daily basis (enters gifts)
Processes all credit card payments including donations, purchases, events, premiums, corporate sponsorships, corporate matching gifts, entries, and all other payments as requested.
Prepares bank deposits, and reconciles pledges, payments, and purchases using Salesforce database
Reconciles all bank, credit, and investment accounts monthly
Monitors income and expenses against the board-approved budget
Produces and distributes monthly financial reports to Executive Director, Senior Leadership team, and Board Treasurer
Oversees relationships with RMN’s financial partners such as banks and brokerages
Monitors and reports on the financial status of the endowment
Implement all necessary business policies and accounting practices; advises Executive and Deputy Director on the improvement to the finance department’s overall policy and procedure manual.
· Manages the logistics and contracts for board and leadership meetings, including registration, transportation coordination, and collection of payments

Human Resources

Researches, reports, and recommends health insurance options, including providers, plan designs, and employee cost shares as needed
Manages RMN’s employee benefit programs including employee enrollment in health, vision, disability, workers compensation, retirement plans, and other plans that may be offered
Manages RMN’s new hire orientation process
Schedules regular all staff in-service training events for topics such as, but not limited to, sexual harassment, insurance benefits, etc.

Office & Database Management

Manages general office systems (e.g. copier, printers, phone system)
Purchases supplies for RMN’s office
Processes emails, regular mail, and responds to inquiries promptly and effectively
Maintains accuracy of database records through deduplication and data verification
Assists staff in creating database reports
Generates lists for mail solicitations
● Researches, implements, and evaluates solutions for increased database integration

● Recruits and oversees contract consultants (i.e. database developers, event registration consultants) in consult with and approval of Deputy Director

● Facilitates as needed database trainings for staff and volunteers to become more proficient and effective users of RMN’s database in order for them to work more efficiently and accurately

● Oversees Data Entry- For example new RUMs

Other duties as assigned by supervisor or the Executive Director

QUALIFICATIONS


● Commitment to the vision and mission of the Reconciling Ministries Network

● A successful track record in setting priorities; keen analytic, organizational, and problem solving skills which support and enable sound decision making

● Ability to respect confidentiality and exercise good judgment

● Ability to work closely with the Executive Director, Deputy Director, and other staff members

● Ability to translate financial concepts effectively

● Excellent communication (both verbal and in writing) and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders

● Advanced understanding of databases

● Strong attention to detail and accuracy in financial record keeping, writing, and files

● Ability to travel as needed

● Bachelor’s degree or equivalent experience and ability

● Experience in accounting and financial reporting, and demonstrated integrity
